Office server and files
A file server in your office with snapshots your staff restore themselves, backed up locally and off site, a password manager on your own server, your old mailboxes in a searchable archive, and the network to run it on. Every site gets a written setup guide, and it is yours if you ever leave.
What we build
- A file server in the office. Shared folders on a small server we supply, with snapshots taken through the day that staff open with a right-click in Windows. Yesterday's file is a right-click, not a ticket.
- Backup in two places. A backup box on site for fast restores, and an off-site copy the office cannot delete, restore-tested every week. Details on the managed backup page.
- A password manager on your own server, with shared logins for the team and the admin login written into your setup guide.
- Old mailboxes in a searchable archive. Exported mail files and the old mail host are imported into an archive on the server, searchable from your mail program, with message counts checked against the source. See email migration.
- A UniFi gateway and cabling to run it on, installed after a site survey. See office networks and cabling.
- A written setup guide per site: devices, network, backups, logins and every change we make. Yours if you ever leave.
How it works
We start with what is in the closet: the server, the switch, where the files live now and who shares them. Then a written quote with the server, backup box and network hardware itemized and yours to keep. Nothing is ordered until you approve it.
We build it, move the files across, and document it. Staff get a short walkthrough of restoring a file and using the password manager. After that it is looked after on a monthly arrangement or by the hour, with monitoring and patching included.
In 2026 we built this for a seven-person practice: file server with snapshots, backup in two places, a 187,000-message mail archive, password vault, gateway and seven cabled drops.
Pricing
Quoted in writing as a fixed project after a free assessment. Hardware is itemized on the quote and yours to keep. Ongoing care is a monthly arrangement or hourly. Rates are on the pricing page.
Email, chat and single sign-on
Self-hosted email, team chat and single sign-on are not part of the standard build. We run them for ourselves and can quote them if your office wants the same.
