Planned around your working day

The part businesses worry about is the day itself. Mail arriving at the old system after everyone has moved. Someone losing a folder of ten years of correspondence. A morning where nobody can send anything.

We handle that by syncing mailboxes to the new platform first, while the old system is still live and receiving. Your people keep working. When the sync has caught up and been checked, we switch mail delivery over, then run a final pass to collect anything that landed at the old system in between. Cutover happens outside your working hours where it needs to.

Before we start, you get a written plan: which mailboxes, in what order, on what date, and what you and your staff need to do on the day. Which is normally almost nothing.

SPF, DKIM, and DMARC done as part of the job

A migration that ends with your mail going to everyone's spam folder isn't finished. DNS and mail authentication are part of the work, not an extra.

  • SPF updated to list the systems that actually send for you, including any application or CRM that sends on your behalf
  • DKIM signing enabled on the new platform and published correctly
  • DMARC published, started in a reporting mode so we can see what's sending as your domain, then tightened once the picture is clear
  • MX and autodiscover records set so clients and phones find the new platform without anyone reconfiguring by hand
  • Old records removed once nothing is using them, rather than left behind for someone to abuse

Rushing DMARC to enforcement is how legitimate mail gets blocked. We take the reporting period seriously and tell you what we find.

The week after matters as much as the day

We stay on it after the switch. We reconnect desktop clients and phones, check signatures and shared calendars, confirm permissions on shared mailboxes, and leave the old platform running long enough that nothing is stranded before we decommission it.

Whatever turns up in the first week, we deal with. It's part of the quoted job. Ongoing support for your users afterward runs through business tech support, or is covered under a Full Service arrangement.

What it costs

  • We price migration per seat and put the total in writing before a single mailbox moves
  • We scope hybrid setups and consolidations first and quote them as a fixed project
  • Microsoft or Google bill the licensing directly, so you can see what the platform costs separately from what we charge
  • Support work outside a project or monthly arrangement has a two-hour minimum, $170. It covers the call-out, diagnosis, and up to two hours of work, then $85 per hour beyond that
  • Rush and after-hours work adds a flat $85
