Email migration

Old mailboxes moved into a searchable archive on your own server, then a switch to a hosted mail provider, with every mailbox copied before the change and checked after. Quoted as a fixed project once we have counted mailboxes and archive size.

Scope

  • Years of exported mail files and an old mail host imported into a searchable archive on your office server, with message counts checked against the source
  • The switch to a hosted mail provider, with the domain records and delivery tests done as part of the move
  • Every workstation and phone reconnected, shared mailboxes and calendars checked
  • Moving off an old mail server that still works but is no longer safe to keep, scoped as its own project
  • Bringing together mail that ended up in three places after a merger or a departed IT person, scoped as its own project

After the move, day-to-day mailbox changes come under hourly business support or a managed IT agreement.

How it runs

Before anything moves you get a written plan: which mailboxes, in what order, on what date, and what staff do on the day. Mail is copied to the new host while the old one keeps running.

On the day we switch the domain over, reconnect every computer and phone, and check that shared mailboxes and calendars work. Message counts are checked against the source before any old copy is deleted. In July 2026 we moved about 187,000 messages for a seven-person practice, and every count matched.

Pricing

Quoted in writing as a fixed project after we count mailboxes and archive size. The mail provider bills its own subscription, separate from what we charge. Support outside the project is hourly. Rates are on the pricing page.
